SUMMARY: Under the supervision of the Executive Director’s Office Manager, the receptionist is responsible for managing a high volume of incoming calls, greeting and directing visitors and inquiries at the Ionkwakiohkwaróron Tribal Administration Building and the Teionkwarihwaienawà:kon Community Services Building as needed. The receptionist is the first point of contact for our Tribal buildings and is responsible for providing exceptional customer service to clients, visitors, and employees. This role requires excellent communication skills, a positive attitude, and the ability to multitask in a fast-paced environment. Additional administrative duties will be required as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Greet visitors warmly, determine their needs, and guide them to the appropriate person or department.
- Maintain a clean, organized, and welcoming reception area.
- Ensure visitors follow the proper sign-in procedures.
- Assist in collecting incoming mail, packages, and internal communications and appropriately distributing them to the correct program or department’s internal mailbox.
- Answer and route incoming calls promptly and professionally using a multi-line telephone system.
- Respond to general inquiries and provide accurate information or direct callers to appropriate departments.
- Monitor and manage voicemail systems, ensuring timely responses to messages.
- Maintain a friendly, approachable, and professional demeanor when interacting with community members and staff.
- Maintain telephone directory for all Tribal Buildings, updating and distributing on a monthly basis.
- Report all malfunctions of the telephone system to the appropriate service repair.
- Assist with administrative tasks that include, but are not limited to, data entry, filing, scanning, and receiving/distributing Tribal program applications.
- Demonstrate patience, tact, and professionalism in all interactions.
- Handle confidential information with discretion.
- Work flexible shifts Monday to Friday between 8 AM to 5 PM.
- Sit for prolonged periods of time using a computer or telephone.
- Adhere to the policies and procedures of the Saint Regis Mohawk Tribe.
- Other related duties as assigned.
SUPERVISORY RESPONSIBILITIES: There are no supervisory responsibilities for this position.

EDUCATION and/or EXPERIENCE:
- High School Diploma or G.E.D required;
- Six months previous experience in receptionist, switchboard, or customer service role is PREFFERED.
The receptionist must have and maintain a valid driver’s license in accordance with the Saint Regis Mohawk Tribe’s Fleet Policy.
