Summary: Under the general direction of the Director of Education, the Administrative Support Coordinator will serve as the central contact position for assisting in the online grant application submittals and reporting to federal agencies regarding grants and will maintain a central “gate keeping” function for the Education division to grant resources and reporting as required by federal agencies. The Administrative Support Coordinator performs high-level professional work related to grant seeking, grant administration, and coordinating grant management activities for the Education Division.
Essential Duties and Responsibilities include the following:
- Keep abreast of federal and state grant programs;
- Determine eligibility for a variety of grant proposals;
- Prepares and compiles all components of each grant submission, ensuring that the proposal is formatted, packaged, and submitted in accordance with granting agency requirements
- Coordinates the planning and preparation of grant proposals for one or more departments;
- Provides guidance and assistance to program and project managers in the interpretation of funding agency regulations and requirements
- Manages grant awards (including tracking deadlines, reporting requirements, deliverables, and reimbursements requests) and document retention
- Coordinate and participate in the preparation of grant compliance reports;
- Analyze and compile information and prepare written and oral reports;
- Coordinates with finance staff to ensure compliance with state and federal requirements related to grant funding and reporting.
- Provides general administrative support to the Education Divisions’ grant programs, including organizing meetings, maintaining documentation, and assisting with budget and financial tracking
- Communicate effectively, both orally and in writing; and work cooperatively and maintain liaison with government officials and agencies at the tribal, county, state and federal levels.
- Coordinates the work of others to ensure conformance to grant requirements and established policies and procedures;
- Resolves procedural, operational, and other work-related problems by working with programs and granting agencies to facilitate solutions
- Prepares written documents, such as research reports, feasibility studies, policies and procedures, memos, schedules, etc.
- Conducts comprehensive research to identify potential grant opportunities relevant to Education Division initiatives and programs and maintains a grant database
- Collaborates with program managers and administrative staff to develop and submit grant proposals that align with Educations’ strategic objectives.

Education and/or Experience:
- Bachelor’s degree required in the field of public or business administration, accounting or finance, AND
- 2 (two) years experience in grants administration, finance, grant coordination or management is required,
OR
- Two-year associates degree in business, accounting or finance, AND
- 4 (four) years experience in grants administration, finance, grant coordination or management is required,
- 1 year grant writing experience is PREFERRED.
Other Skills and Abilities: Computer testing in the applicable skills may be a requirement during the interview process. The successful applicant will have a strong understanding of the
grant life cycle process including grant seeking, grant writing, and the grant management process. Maintains knowledge of grant funding policies, regulations, and procedures; disseminates
and/or presents changes to departments and advises on the implementation of changes, and on
the impact of changes on funded operations.
Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
