Summary:  Under the direction of the Executive Director’s Office Manager, the Administrative Floater will provide comprehensive administrative support across various Tribal divisions, programs, and offices to ensure smooth and efficient operations are maintained when needed. The Administrative Floater must be flexible, willing to learn, and have excellent organizational skills, as well as the ability to adapt to different tasks and office environments. This position also requires the ability to work independently and as part of a team. 

 

Essential Duties and Responsibilities include the following:  

  • Provide comprehensive administrative support to various Tribal divisions and programs, including but not limited to; Human Resources, Finance, Social Services Division, Community and Family Services, Environment Division, Economic Development, Tribal Courts, Home Improvement Division, Office for the Aging, Health Services, Planning and Infrastructure, Education Division, Facilities Maintenance, Tech Support, Tribal Historic Preservation Office, Tribal Police Department, Recreation and Parks, Grants and Contracts, Office of Emergency Management and Safety, Tribal Council, and the Executive Director’s Office. 
  • Provide coverage for absent administrative staff in different SRMT departments when requested. 
  • Maintain and organize filing systems, both electronic and physical, ensuring data preservation.  
  • Supporting various projects by completing tasks like research, data compilation, and report preparation.  
  • Preparing meeting agendas, reserving conference rooms, and distributing meeting materials.  
  • Retain accurate records by inputting data into systems and filing documents appropriately.  
  • Maintain incoming and outgoing correspondence, including e-mails, phone calls, and mail. 
  • Prepare and edit reports, presentations, and correspondence with attention to detail and accuracy.  
  • Assist with event planning, coordination, and final completion of event or project.  
  • Flexibility to quickly learn new procedures and adapt to different departmental needs.  
  • Assist with picking up and delivering supply orders from various vendors, as needed.  
  • Provide coverage for the Mail Clerk.  Position requires heavy lifting. Candidate must be able to lift a minimum of 25 lbs.  
  • Assist Administrative staff with special projects and Tribal events.  
  • Exhibit a helpful and courteous manner when dealing with staff and community members.  
  • Handle confidential information with discretion.  
  • Adhere to the policies and procedures of the Saint Regis Mohawk Tribe.  
  • Work flexible shifts Monday to Friday between the hours of; 8 AM to 5 PM and as needed for special events.   
  • Other related duties as assigned. 

 

Supervisory Responsibilities: There are no supervisor requirements for this position.

Education and/or Experience:  

  • High School Diploma or G. E. D. required.  
  • Six months previous experience in Administrative Assistant, Reception, or customer service role is preferred.  

 

Other Skills and Abilities: Strong written and oral communication skills required. Must have excellent computer skills including word, excel, and experience with varying databases. ADP training is an asset but not required. Computer testing in the applicable skills may be a requirement during the interview process. 

 

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.  

Must have and maintain a valid driver’s license with a clean driver abstract in accordance with the Saint Regis Mohawk Tribe’s Fleet Policy.
